Peconic Land Trust is a non-profit organization with the mission of conserving Long Island’s working farms, natural lands, and heritage for our communities now and in the future. Our Fundraising Department is looking for an entry-level ,full-time Development Assistant. We are looking for a positive individual who wants to make a difference on Long Island. Salary is $40,000 with competitive benefits. Hybrid work schedule available.

Job Summary

Work as a member of the Development Team and other staff as needed. Main job functions include data entry and reporting, managing departmental calendar, acknowledging gifts, assisting with donor events, and general administrative duties.

Gift Processing (45%)

  • Enters all gifts/memberships/pledges/pledge payments/matching gifts/employee giving/recurring gifts/venture projects/shares/garden plots/stock gifts/ticket sales/in-kind gifts/auction donations/land, easement and preserve gifts.
  • Reviews response forms and alerts appropriate person if follow up is needed.
  • Scans daily receipts and adds to SharePoint.
  • Follows up with banks and other institutions when we receive an anonymous bank or stock transfer to determine where this gift originated from. Maintains mystery gift log.
  • Follows up with declined credit cards and checks (except for recurring donors, shares, and garden plots).
  • Maintains paper and computer filing systems to track contributions.

Matching gift program (2%)

  • Manages donor employee giving program and researches and completes processing of matching gifts.
  • Grows our matching gift program by finding innovative ways to encourage donors to seek matching gifts when giving online or through direct mail.

Acknowledgements (10%)

  • Coordinates printing and mailing all acknowledgements generated in-house
  • Stays current on laws and regulations related to fundraising and acknowledgements

Manages Team Planning Calendar (5%)

  • Using Microsoft planner

Fundraising email (10%)

  • Designs and coordinates all team emails

Events/Donor Stewardship (10%)

  • Manages mailings of event invitations
  • Assists Donor Stewardship Coordinator as needed with event logistics, mailing and event volunteers, speakers, location, permits, catering, etc.

General Administration (15%)

  • Perform general administrative tasks for the Development Team and Trust as a whole as needed, including booking travel, ordering food and supplies, answering phones and updating our calendars.
  • Assists members of team with responsibilities like running reports, updating online forms, creating lists; learns department needs with an eye on becoming better versed in all aspects of the department
  • Provides back up for front desk receptionist

Volunteers (3%)

  • Coordinates the department’s volunteer needs for mailings and events
  • Oversees the volunteer’s time and assists with any needs, like providing food and beverages.

Perform other duties as may be deemed appropriate by the President

Active Team Participation

  • Development Team - Policy Guidelines and best practices for data entry, troubleshoot problems, determine best strategies, and coordinate with other departments.
  • Fundraising Strategy Team - Develop a coordinated organization-wide fundraising strategy and oversee its implementation

Skills

  • Requires strong organizational and interpersonal skills
  • Excellent written and oral communication skills, and listening skills
  • Strong computer skills required, including but not limited to Word, Excel, and database experience
  • Must have the ability to handle multiple tasks and responsibilities effectively
  • Must be detail-oriented and produce accurate work
  • Must be responsible and possess the ability to exercise good judgment and follow-through on tasks independently
  • Have the ability to work well with others as a team player and team builder
