Primary Responsibilities

You will provide administrative support to the President, Vice President and serve as the front desk receptionist acting as a warm, welcoming first point of contact for donors, partners, vendors, and any visitors. Responsibilities include, but are not limited to, the following:

  • Provide administrative support related to meetings of the Board of Directors, Committees and supporting organizations, including communications, record-keeping, material distribution, scheduling and related tasks as needed.
  • Manage the President and Vice President’s calendars, scheduling/moving meetings and handling all the related logistics.
  • Perform general office and reception duties, such as opening/distributing mail and answering/directing phone calls.
  • Create and distribute a daily report of receipts, including cash, checks, credit card transactions and pledges.
  • Assist with completing documentation for Land Trust Alliance accreditation renewal.
  • Provide support at annual weekend events such as Peconinic and Through Farms and Fields and arrange registration and travel for President and Vice President.
  • Elevate problems, concerns, or issues in a timely manner to the President and Vice President.

Qualifications/Requirements:

  • Minimum HS Diploma or equivalent.
  • Prior office administrative experience is a must.
  • Experience working with basic office equipment (copier, scanner, fax, printer).
  • Must be able to distinguish and know how to maintain confidential and sensitive information and matters.
  • Must be detail oriented with strong organization, communication, and follow through.
  • Knowledge of Microsoft Office Suite required.
  • Must be 18 years old and possess a valid driver’s license with the ability to reliability commute to Southampton.
